Privacy Policy

Information I Will Collect & Process from You

 

I, John Jackson Almond, will collect personal information about you in order to market my services and to carry out my professional and contractual obligation to you.

 

This will include, but is not limited to:

 

  • Your name and contact details (address, telephone number, and email)

  • An emergency contact name and contact details

  • GP Details/Other care providers details as agreed

  • Notes/Recordings from our sessions

  • Referral Information

  • Forms completed by you in the course of our relationship together

  • Any messages through systems such as mobile text, email, voicemail, facebook, instagram or WhatsApp – where relevant the platform provider will also have a privacy policy place

  • Business to Business information will be collected from public sources

Use of Information

 

Your information will be used to manage our relationship together and to send you information about my practice’s services or information about other services that are relevant to our work.

I may use AI tools to help operate my business. Where these tools process personal information, I limit what is shared, use appropriate safeguards to protect privacy and confidentiality, and remain responsible for how it is used. AI is not used to make decisions about you.

Your information will never be sold to third parties.

Helping people find us

We may use limited contact and website information to understand how people find us, improve our marketing and help others discover JJ Almond Therapy. This may involve services such as Google and Meta. We never sell your information or use the content of enquiries or therapy sessions for advertising. You can ask us to stop using your information for marketing at any time.

Storage of Records

 

Any records that I keep about you will be held securely in an electronic password protected system.

 

Any notes written in a session will be transferred to the electronic system and the written notes securely destroyed.

Your records will be stored for 7 years after you leave the practice. After this period, your records will be destroyed.

Access to my practice system may be granted to a third-party/third party system provider for research, notes, the update, maintenance and amendment of the system. 

This includes the use of AI for note taking and analysis in a secure closed system.

A confidentiality/non-disclosure agreement will be in place with relevant third-party providers.

 

Sessions may be audio-recorded for the purposes of clinical supervision, to aid my on-going career development, and, to help me prepare accurate notes. Recordings may be processed using protected transcription or AI-assisted tools but remain subject to my professional judgement. They are confidential, kept only as long as needed and never longer than three years. Some providers may process information outside the UK or EEA; where this happens, appropriate safeguards are used. Recordings are never used for marketing or social media.

 

Your Right to Access

 

You have the right to view or obtain copies of any information that I hold about you.

This is to be provided within 28 days of your request and in either

electronic or paper format.

 

You have the right to ask for any incorrect information to be amended.

 

You have the right to ask for any information that I hold about you to be erased. This is not an absolute right and only applies in certain circumstances.

Any communications made over email or text can not be guaranteed as 100% secure.

Please bear this in mind when communicating information. Any information you chose to send using these formats is your responsibility.
