
John-Jackson Almond t/a jjalmond.com is a sole trader offering coaching, counselling and therapy “Services” using the modality of Transactional Analysis. The following terms and conditions apply to all who use the Services provided.

TERMS & CONDITIONS
Sessions

We are agreeing to meet weekly, on-line, for a minimum period of 6 weeks.

We will not meet during any pre-communicated periods of holiday or absence.

The minimum period of 6 weeks will be reviewed jointly, and continuation beyond this will be agreed between us.
Duration of a Session

Sessions are 50 minutes in length.

If you arrive late to a session, it will still end at the planned time and you will have a shorter session.
Fees
-
Session fees are payable in advance of a session. The fee charged per session will be at the agreed rate.

An invoice / payment link will be sent to you in advance of your session where payment has not already been made at time of booking or through the website.

If payment has not been received prior to a session the session will not be able to take place.

Should the agreed fee need to change, a minimum of one month’s notice will be given in writing (by e-mail or other communication platform).

Any fee negotiation is entirely at my discretion.

Cancellation
-
Sessions can be changed, or cancelled, with a minimum of 48 hours’ notice without incurring a cancellation fee.

If I ever need to cancel I will endeavour to find a suitable alternative session or offer a full refund if payment has already been made.

Sessions cancelled or rescheduled with less than 48 hours' notice will incur the full session fee. Exceptions may be made at my discretion in cases of genuine emergency.
Ending Our Therapy

Therapy can be ended at any time.

When it is time for therapy to come to an end it is important, where possible, that the ending is phased over at least 2 sessions after the discussion of coming to an end takes place.

Endings can be instigated by you the client, myself the therapist or jointly as a natural progression of our work together.
Contact between Sessions

Our time together will be limited to inside our sessions, and our clinical content will not be discussed via e-mail, text, or any other communication methods between sessions.

Contact between sessions should be limited to general administration such as arranging sessions and payments. Any other contact between sessions will not be acknowledged and should be discussed at the next session.
Clinical Will
-
Should my practice need to be managed by an executor/representative in the event of my death or incapacitation, a Clinical Will is in place. A representative will contact you to ask if you would like to continue therapy with another therapist.
Attending Sessions

Clients must present for a session in a sober state and must not be under the influence of recreational drugs or alcohol. This is to ensure that both client and therapist can use the session to the very best of our ability.

If you present for a session and I consider it inappropriate to proceed, the session will not take place and the full session fee will remain payable.

Clients are responsible for ensuring they have a suitable private space and a stable internet connection for on-line sessions.

If an on-line session is disrupted due to technical difficulties on your side, the session will end at the planned time and no refund will be given. If the disruption is on my side, I will endeavour to reconnect or arrange an alternative time.

Sessions should not be attended whilst driving, in a public space, or in any environment where your privacy or safety cannot be assured.
Notes
-
Any notes that are taken are stored electronically in a secure and password protected system.

AI tools may be used to compile notes/summaries/analysis.

Any AI tools used operate within a closed, confidential system and client data is not used to train external AI models. You are entitled to ask which tools are in use.

My practice is registered with the Information Commissioners Office; and I am the designated Data Protection Officer (Registration number ZB874224).
Ethics

I am bound by the code of ethics as published by UKATA, NCPS (Member NCS22-00993) and UKCP (Member: 2011190963).

Recording
-
Sessions may be recorded for the purposes of receiving professional supervision for my on-going learning and professional career development.

By accepting these terms and conditions, you explicitly consent to sessions being recorded for this purpose.
Confidentiality
Our psychotherapeutic relationship is confidential except in the following circumstances:

Your safety or safety of others is at risk.

Where there is a disclosure or reasonable concern relating to the safeguarding of a child or vulnerable adult, I am obligated to report this to the relevant authorities.

Discussing the work with my professional and academic supervisors. Supervisors are also bound by confidentiality. When receiving Supervision all clients are referred to by first name only.

In line with the above reference to a Clinical Will, if I am unable to practice due to accident or sudden incapacity a qualified colleague will contact you and enquire about your wish for further therapy.

If I am compelled by a court of law to disclose notes/information about our therapy.

Non-payment of fees resulting in legal action being taken against you.

Where the law requires disclosure, for example in cases of suspected money laundering and terrorism.

At your request that you would like me to breach confidentiality.

This is not an exhaustive list and other situations may arise where confidentiality must be excepted.
Location
-
Due to the nature of my work-related travel, I may be in different, but always private, locations for our sessions.
Complaints
-
If you have a concern or complaint about any aspect of the service, I encourage you to raise it with me directly in the first instance, and I will endeavour to respond within 28 days.

Should you wish to escalate a complaint, you may do so through UKATA, NCPS, or UKCP using the contact details available on their respective websites.
Acceptance

Engaging with the Services, whether by booking a session, making payment, or attending a session, constitutes acceptance of these terms and conditions in full.
Law
-
This Agreement, and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with it or its subject matter or formation, shall be governed by, and construed in accordance with, the law of England and Wales. The parties irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with this Agreement or its subject matter or formation.
